Privacy Policy

The Tree Doctor LLC ("we," "us," "The Tree Doctor") operates thetreedoctorllc.com. This policy describes what we collect, why, and what we do with it.

What we collect

We collect information you give us directly through:

  • The lead-intake form on our contact page — name, phone number, email address, service address, the service category you're asking about, urgency, preferred contact method, and any message you choose to include.
  • Email or phone contact if you reach out directly. Same general categories of information.

We do not collect:

  • Social security numbers, payment card numbers, or any financial account information through the website.
  • Photo uploads (the optional photo field is not yet active).
  • Browsing data beyond the anonymous aggregate analytics described below.

What we do with it

The information you submit is used to:

  1. Respond to your inquiry. A representative from The Tree Doctor will contact you using the method you indicated.
  2. Provide a written estimate if you've asked for one, including the service address you provided.
  3. Maintain records of past customers for warranty, follow-up scheduling, and seasonal communication you may have opted into.
  4. Improve our service. Aggregate, non-identifying patterns of what people ask about may inform what services we emphasize or how the site is organized.

We do not sell, rent, or trade your information to any third party for marketing purposes. We do not share your information with any party other than the operational service providers described below.

Service providers we use

To operate the website, we rely on a small number of third-party services:

  • Vercel hosts the website and processes web requests. Vercel may log standard server data (IP address, user-agent, timestamps) consistent with normal hosting operation.
  • Vercel Web Analytics provides aggregate, anonymous traffic statistics. No personally-identifying browsing data is collected.
  • Google Analytics 4 provides aggregate site-usage statistics and conversion measurement (e.g., counting form submissions). Google Analytics sets cookies in your browser; we use it in its standard, IP-anonymized configuration and do not enable Google's advertising or remarketing features through it.
  • Resend delivers the email notification when you submit the lead form. Your submission data is transmitted to Resend's servers as part of email delivery.
  • Cloudflare provides DNS and content-delivery infrastructure. Cloudflare Turnstile (a privacy-preserving CAPTCHA alternative) gates the lead form against bots; it does not set tracking cookies or follow you across sites.
  • Google Business Profile (where applicable) shows our location and aggregate review information.
  • Google Places API is used server-side to fetch our Google Business Profile rating and a small selection of public Google reviews for display on the home page. No personal data about website visitors is sent to Google through this integration; only our own business identifier is queried.

Each of these providers has their own privacy policy. We use them in their standard, supported configurations.

How long we keep it

  • Lead-form submissions: retained in the email system as long as the customer relationship continues, or up to 7 years for record-keeping consistent with normal business and tax recordkeeping.
  • Hosting logs: retained by Vercel per their standard retention windows.
  • Analytics data: aggregated and non-identifying; retained at provider defaults.

We delete or anonymize personally-identifying information on request — see below.

Cookies and tracking

The website does not set tracking cookies for advertising or third-party marketing. Vercel Web Analytics may set a single anonymous identifier for aggregate measurement, and Google Analytics 4 sets standard analytics cookies that allow us to count visits and conversions in aggregate. We do not use Facebook Pixel or similar advertising-pixel tracking systems.

Your rights

You can:

  • Ask what information we have about you.
  • Ask us to correct or update information.
  • Ask us to delete information we hold about you, subject to any legal recordkeeping obligations (tax records, etc.).
  • Opt out of any future email or text communication.

Children

The website is not directed at children under 13, and we do not knowingly collect information from children under 13. If you believe a child has submitted information to us, contact us and we'll delete it.

Changes to this policy

If we materially change how we handle information, we'll update the date at the top of this page and, where appropriate, provide notice through the website or by direct contact for active customers.
